Numbered List

By default, items in a table are not numbered, yet, we have the option to do so.

As an example, I quickly created a “Report” where the teachers are assigned according to groups in the box.

To quickly know the number of teachers for each subject, they can be numbered.

  • First select the “Design View”.
  • Add a “Text” in the “Details” section in the “Report”.
  • Remove the label of the box, we do not need this.
  • Select the newly inserted text box and click the “Properties Window” button in the “Ribbon” .

In the “Properties window”, type the “Control Source” = 1. Because I want the numbering to start with 1.

In the “Running Sum” we have three options:

  1. “No”: no numbering
  2. “Over group”: each group will start back at 1.
  3. “Over All”: numbering will be inserted consecutively

In this example I choose “Over Group”.

Save your changes and click the “Report View” button in the “Ribbon”.
This gives me results with numbering and each new group begins again with 1.

If I had chosen “Over All” in the “Properties window”, then the numbers would have been consecutive.

A calculated control

We have the option of adding a calculated control to our “Report”. We do this by inserting a text box in the “Report”, to which we add an expression. For example, we want all our teachers’ salaries increased by 5%.

  • First select the “Design View” button in the “Ribbon”.
  • Add a text box to the “Details” section.
  • Click the “Properties Window” button in the “Ribbon”.
  • With this new text box selected (1), choose the “Other” (2)tab in the “Properties window” and give this box a name, eg “Salary” (3). You never know when we want to refer to this text box.

Then select the “Data” (4) tab in the “Properties window”.
Click the “Expression” button in the “Control Source” (5). This opens the “Expression Builder” dialog (6).
In the middle section of the “Expression builder”, double click the “Salary”, this is the field where we want to calculate 5%, so type * 0.05.
Click the OK button.

You might still need to adjust the “Format” to “Currency” in the”Format” dropwdown list in “Format” tab in the “Properties window”.

Click the “Report View” button in the “Ribbon”.
Do not forget to save your changes.
