Copy a “Pivot Table”

We can not make changes to data or formulas in a “Pivot Table” itself. For this, we need to first make a copy of our “Pivot Table”.

Select the “Options” tab in the “Pivot Table Tools”.

Click the “Select” button in the “Ribbon” and select “Entire Pivot Table” from the drop-down menu.

This will select our entire “Pivot Table”.

Choose the “Home” tab in the “Ribbon”.

Click the “Copy” button.

Select where you want to paste the “Pivot Table”

In this example, I’m pasting the “Pivot Table” in a new “Worksheet”.

 

So I click the Shift F11 keys on my keyboard. This creates a new “Worksheet”.

I place the cursor in cell A1 of the new “Worksheet”, click the downward pointing arrow under “Paste” and choose “Paste Special” from the drop-down menu.

In the dialog that appears, I select the “Values” (1) option. Then I paste again, but now I choose the “Format” (2) option.

The resulting copy looks just like the original Pivot Table, the difference being that the data is in a new “Worksheet”, and linked with data from the original “Pivot Table”.

 

Show / Hide “Grand Totals “

Showing or hiding “Grand totals” in our “Pivot Table” is a piece of cake.

First select the “Options” tab in the “Pivot Table Tools”.

Click the “Options” button.

In the “Pivot Table Options”, choose the “Totals & Filters” tab.

Select or deselect both boxes labeled “Totals for …”

And click OK.

The column and row “Grand totals” are automatically shown or hidden in our “Pivot Table”.

 

Group items

In “Excel”, we have the possibility of a field that groups dates, times or numbers .

In this example I’m going to group a date.

To do this, right-click the field with the date and choose “Group”.

In the dialog that appears, you will have to give start and end dates.

In the “On” list, select the options you want to “Group”. Hold the Shift key on your keyboard pressed, if you want to select multiple options.

To ungroup, right-click a cell and select the option “Ungroup”.
