Customizing the Display:

To change the display features, click the “View Settings” button on the “View” tab in the “Ribbon”.

This opens the “Advanced View Settings” dialog box.  Suppose you want to change the display settings for the “Phone” list. If you clicked the “View settings” button when another “View” is open, then you will get the display settings for that particular “View”..
I will not discuss all of the options here because there are just too many and we don’t have the time to go into each and every detail. Just try and explore them on your own.

In this dialog box, you have various buttons which can be used to activate various features, such as “Columns”,”Group by”,”Sort”, “Filter”,etc. Again, I will not elaborate on all of them as their meaning is quite obvious.

But as an example, I’ll change the number of “Columns” on display.

To do this, I click on “Columns”.

 

This opens a second window where the list of available “Columns” is displayed on the left and the list of the “Columns” being used is displayed on the right. If you want to add a specific “Column”, select it from the list on the left and click the “Add” button.
If you wish to delete a “Column”, select it from the list on the right, and click the “Delete” button.
If you wish to have a “Column” that is not in the list of available “Columns”, click the “New Column” button .Specify the new column’s name, type, and format.

If you have finished, click the “OK” button, twice.

 

The desired “Columns” are now displayed.

 

Changing Contact Information:

 

To modify a contact, double click on the icon in the list, irrespective of the type of “View” being displayed.

The particular contact window is re-opened allowing you to make the necessary changes.

If you’re finished, click on the “Save and Close” button .

 

Grouping Contacts:

When we have several contacts who are of similar interest to us, we can make them into a group.
You can create groups, based on any criteria, such as, all the members of your bridge club, or all representatives of a certain company, etc.

To share contacts within a group, click on the “New contact group” button in the “Ribbon”, under the “Home” tab.

 

In the group window that opens, you can give the group a name, such as “Card club”.
After this, click on the “Add Members” button in the “Ribbon”.

 

In the list displayed, on the window that opens, double-click on the address of the person, you want added to the group.  Right now, I don’t have many contacts, but this is only a preview.  If you have hundreds of contacts, you can enter a name or part of a name type in the “Search” tab, and then click on the “Search” button. This will make it easier to find a specific person.

Click “OK”, when all the necessary contacts have been added to your group.

 

Now all you have to do is click the “Email” button and all the persons in your group will receive that particular mail.  Moreover, their addresses will be displayed in the “To” text box of your e-mail.
