Adding a “Task”

We can add tasks in various ways.  One way is to click on the “Home” tab in the “Ribbon”, select “New items”, and click on “Task”.

 

In the new task window, we have the “Subject” text box where you enter the subject of your “Task”.  This is the only thing that must be completed, the rest is optional.

Click the “Save and Close” button to save the “Task”.

However, if you wish to specify some more options, which is usually the case, you can enter a “Start Date”, an “Due date”, a “Status”, a “Priority” and/or a “Completion Percentage”.

 

If you wish to be reminded about a particular “Task” at a certain time, select the “Reminder” tab, where you can select a date and time when you want a reminder for this particular “Task”. If you want to change the sound of the reminder, click on the sound icon in the list and specify the required sound.

 

If you want to set a color category for this “Task”, click on the “Categorize” button (3) in the “Ribbon” and choose a category from the drop-down menu that opens. If you want to enter more information regarding a “Task” such as the mileage, billing information,etc. then click on the “Details” (4) button.

 

If this “Task” is recurring, such as emptying the garbage cans, or mowing the grass, then click on the “Recurrence” (5) button, and in the dialog box that appears, enter the “Recurrence pattern” and “Range”.

 

When you’ve finished, click on the “Save and Close” button in the “Ribbon”.

 

This “Task” will now appear in the “To do” list(1), in the taskbar (2).

 

When you have set a reminder, an icon appears next to this “Task” in the task bar and in the “Calendar”.   When the “Task” is completed, click on the red flag next to the “Task”. The “Task” is then removed from the taskbar and is underlined in the list at the bottom of the “Calendar”.

 

Customizing the “To-do” bar

To expand the “To-do” Bar, click the on the left arrow found at the top. To increase its size, position the cursor at the edge of the taskbar and when it changes into a double-headed arrow click and drag it to the desired width.

To display more events, click the “View” tab in the menu bar, click on the “To-do Bar” button and select “Options” from the drop-down menu

 

In the dialog box that appears, enter the “Number of month rows” according to the number you want displayed in the taskbar.

The maximum number for this is 25. If you do not want anything to be displayed un-check the “Show To Do List” check box.

 

Click OK when you’re done

 

 

Hiding components:

If you want to hide certain parts of the “To-do” bar, click the “View” tab on the menu bar. Click on the “To-do Bar” button in the list displayed and uncheck the box for the item you want removed. If you want it displayed later, execute these steps again.
