Creating and Editing Columns:

In Word, we have the option of having columns for our text, or parts of our text.

We find the “Columns” button under the “Page Layout” tab on the ribbon.

When we click this button, we have a choice of 1 column, two columns or three columns, for Left and Right.
Left and Right divides the text into two columns, one narrow and one wide.

To remove columns, click the “Undo” button, or click “Columns” and select “One” from the drop-down menu.

 

In order to adjust columns, place the cursor anywhere in a column and, again click “Columns” in the ribbon.

Look at the bottom of the list for “More columns”.

This opens the “Columns” dialog box.

In this dialog box we can

  1. see the number of columns.
  2. place a line between columns
  3. enter the column width for each column manually
  4. apply these settings to the entire document, or from a particular point in the document. With “This point forward” they mean the point where your cursor is at that particular time.
  5. Do you want the column width to be set manually? Then you should select the “Equal column width” check box by clicking on it.

If you have inserted sections into your document, then this option will also be listed in the drop-down menu, “Apply to “.

In order to break down a column in a certain place, such as between two paragraphs, you can insert a column break after the previous paragraph.

For those who have forgotten how to do this:
Place the cursor after the paragraph where you want to start the new column.
Select the “Page Layout” tab on the ribbon and, click the “Breaks” button.
Click the “Column” button.
This adds a column break, and any text inserted below is displayed in the next column.

     

 

Setting the column width using the ruler:

Another way for setting the column width , is by means of the ruler.
Place the cursor in the column in which you want to change the width.
To change the column width, place the cursor in the ruler, and when it changes to a double-headed arrow, click and drag it to the desired width.

 

Text Layer

By using the “Hyphenation” option, you can reduce the white spaces at the edges of your document by using a hyphen (-).

The “Hyphenation” option can be found under the “Page Layout” tab on the ribbon.
When we click this, we have number of options to choose from:
“None: This the default setting where there is no hyphen in your document.
“Automatic”: Word 2010 will determine where and when, words are to be hyphenated in your document.
“Manual”: You can decide which words will be shortened, and how they are broken.
Word displays an alert each time, in a dialog window, where you can accept, modify, or ignore the hypnenation.

“Options for hyphenation”: This displays the “Hyphenation” dialog box in which you can include the width of the hyphenation you want to enter. This is the space between the word and the edge.

 

Line Numbers

Line numbers can be useful when you want to refer to certain parts of your text, because it is easier to talk about a line number, when it is displayed, rather than counting the lines to find a particular line.
The “Line Numbers” are found under the tab “Page Layout” on the ribbon.
Clicking on the “Line numbers” gives you some options that are quite clear.
