46/72 Lessons

The “Report Wizard”

A “Report” is perhaps a way, to present your data in a professional manner.

It allows you to group, sort and print your information.

We have several ways of creating a “Report”.

One way is through the use of the wizard.
Select the “Create” tab in the “Ribbon” and click the “Report Wizard” button.

This opens the wizard.
In the first screen of the wizard choose the “Table” or “Query” that you want to make a “Report” of, in the top box.
Select the fields in the left part that you want to add to the “Report”, click the ‘>’ button to place them in the right part of the window. If you wish to add all the fields, click the ‘>>’ button.
And click the “Next” button.

In the second window in the left box, select the field or fields on which you want to group the data.
I first want to group by the subject and then by the teachers.
So I choose the “Subject” field first in the left box and click the ‘>’ button.
Then choose the “teachers” and then click the ‘>’ button.
This would be the order that the data in the “Report” must group, first on the subject and then on the teachers.
I click the “Next” button.

In the third window, select the field or fields that you want to sort .
Click the “Next” button.

In the next window choose the formatting of your “Report” and orientation.
And you have the option to adjust the field widths.

In the fifth window, we choose a style and click the “Next” button.

In the last window, type a title for your “Report” and choose whether you want to see a preview or if you want to change the design.
The later takes you to the “Design View” of your “Report”.
I can still change the format of the “Report” later so, I choose the first option, “Print Preview”.
And I click the “Finish” button.

This brings me to, what did you expect? A preview of my “Report”:

If you wish to change the layout of your “Report”, close the preview by pressing the “Close Print Preview” button, and select “Design View” in the “Ribbon”, under the “Home” tab.
More about “Design View” in the next lesson.
