Lesson 53: Numbered List and Calculated Control

Numbered List

By default, items in a table not numbered.
But we have the opportunity to do so.
First select the “Design View”.
Add a “Text” in the “Details” section in the “Report”.
Remove the label of the box, we do not need this.
Select the newly inserted text box and click the “Properties Window” button in the “Ribbon”.
In the “Properties window”, type the “Control Source” = 1. Because I want the numbering to start with 1.
In the “Running Sum” we have three options:
“No”: no numbering
“Over group”: each group will start back at 1.
“Over All”: numbering will be inserted consecutively
In this example I choose “Over Group”.


Save your changes and click the “Report View” button in the “Ribbon”.
This gives me results in a numbering with each new group begining again with 1.
If I had chosen “Over All” in the “Properties window”, then the numbers would have been consecutive.

A calculated control

We have the possibility of adding a calculated control to our “Report”.
We do this by inserting a text box in the “Report”, to which we add an expression.
For example, we want to increase all our teachers’ salaries by 5%.

First select the “Design View” in the ribbon.
Add a text box to the ‘Details” section.
Click the “Properties Window” button in the “Ribbon”.
With this new text box selected, choose the “Other” tab in the “Properties window” and give this box a name, eg “Hike”.
You never know when we will want to refer to this text box.
Then select the “Data” (4) tab in the “Properties window”.
Click the “Expression” button in the “Control Source” (5).
This opens the “Expression Builder” dialog (6).
In the middle section of the “Expression builder”, double click the “Salary”, this is the field based on which we want to calculate the 5%, and type * 0.05.
Click the OK button.

You might still need to adjust the “Format” to “Currency” or Euro in the”Format” dropdown list in “Format” tab in the “Properties window”.
Click the “Report View” button in the “Ribbon”.
Do not forget to save your changes.
