1.Editing Cells:

  • In cell A2, there is word “service”. If you wish to replace service:
    • Double click in cell A2
    • In the formula bar, double click on the word service
    • Replace it with the word you want to change, and press Enter
  • In cell A3 if you want to replace ‘maintenance service’ by ‘service maintenance’:
    • Double click on cell A3
    • Select the entire cell contents
    • Type: “service maintenance” and press Enter
  • Determining to change the word at different places:
    • Choose the ‘Edit’ menu (Edit)
    • Click on ‘Search’ (Find)
    • Type: ‘Services’ in the ‘search’ (FindWhat)
    • Click ‘replace’ (Replace)
    • In the replace  box by type ‘services’
    • Click “Replace All”, and click “Close”
  • Find a formula:
    • Choose the ‘Edit’ menu (Edit)
    • Click ‘search’ (Find)
    • Type: “= sum” in the ‘search ‘(FindWhat)
    • In the ‘search’ (Look in), Choose formulas
    • Click “Find Next” (Find Next)

2. Move cells:

  • Select the cells you want to move, place the pointer on the edge of the selection and the mouse pointer becomes a white arrow.
  • Click and drag the selection to the desired location.
  • If it causes displacement of cells that already contain data, you get a warning, and you have the choice to cancel or confirm.

3. Copying cells with drag method:

  • Select the cells you want to move, place the pointer on the edge of the selection until you see the white arrow.
  • Hold down the Control key while you drag.
  • A small plus sign appears as an indication that you are copying.

You get no warning if you copy the cells that already contain data

4. Copying cells to another worksheet or to another application:

  • Select the cells
  • Click on the “Copy” button 
  • By selecting a floating edge, choose a new worksheet or a new application
  • Click in the cell and press on the “Paste” button on the toolbar 

5. Transpose Cells:

  • Select the cells A1 / E5
  • Click on Copy when the floating edge appears
  • Click the right mouse button in the cell where you want to copy (eg: A8)
  • Select ‘paste special’ (Paste Special)
  • Select the Transpose check box (Transpose)
  • Click OK
  • The column titles now become row titles and column headings become the row titles

Insert, delete and clear cells, rows and columns

Insert Rows

  • Select eg: two rows and click the RIGHT mouse button
  • Choose ‘Insert’ (Insert)
  • Two rows inserted

Insert columns

  • Select eg three columns and click the RIGHT mouse button
  • Choose ‘Insert’ (Insert)

Insert Cells

  • Select the cell where you wish to insert
  • Click the RIGHT mouse button
  • Choose Insert (Insert), and make the choice for your cells – move the cells right or down
  • Click OK, and the new cells are inserted

You can always insert / remove cells, rows or columns by clicking the RIGHT mouse button on a cell button.

You can also use the toolbar buttons, but the buttons required for this are not in the standard toolbar, you can Create a toolbar (see next lesson).

Clear and delete cells, columns or rows.

There is a difference between Clear and Delete.
Delete : Deleting a cell, row or column with the cell contents and format, along with the cell, row or column is called deleting.
Clear : Deleting a cell, row or column with the delete key and this will erase only the content of the cell, row or column. The format remains unchanged.

For deleting both the format and content, choose ‘edit’ command from the menu. Select from the drop menu choose ‘all’.

Efficient use of toolbars

Press the RIGHT mouse button on an empty space in the toolbar, it displays a list of available toolbars with a check mark next to the active toolbars.
You can activate a toolbar by adding the shortcut menu, you can move the toolbar by dragging the title bar. Click the close box to close the toolbar

Custom toolbars

Adding a button in a toolbar:

  • Click with the RIGHT mouse button on an empty space in a toolbar and choose the command ‘customize’ (Customize)
  • Select a category
  • Drag the button you want to add on to the toolbar

Removing  a button from the toolbar:

  • Click with the RIGHT mouse button on an empty space in a toolbar and choose the command ‘customize’ (Customize)
  • Drag the button from the toolbar to the worksheet

Creating a custom toolbar:

  • Click with the RIGHT mouse button on an empty space in a toolbar and choose the command ‘customize’ (Customize)
  • In the dialog box, click on the “Toolbars” tab (Toolbars)
  • Click on ‘New’ (New)
  • Type a name in the ‘Toolbar Name’ (Toolbar Name) and press on
    Enter, and it immediately opens a new empty toolbar on your worksheet 
  • Click on the ‘Commands’ tab (Commands)
  • Select a category
  • Drag the required buttons one by one to your toolbar, and once you included all the buttons you want,  close the dialog
  • Now you can optionally drag your own toolbar to the existing toolbars by dragging it under an existing toolbar

The toolbar that we have created contains the buttons for adding and deleting cells, columns and rows.

All toolbars can be moved by clicking on the double line that appears to the left of the toolbar and dragging it to the desired position.
