Lesson 37: Blank Forms

37/76 Lessons

Blank form

A third way of creating a “Form” is with the “Blank Form” (1) and “Form Design” (2) buttons. Both create a “Blank Form” but with different views.

Which view is better, depends on what is the easy for you to work with. You can always switch between different views by right-clicking the tab (1) and selecting “Form View” or “Design View” in the drop-down menu (A).

Whichever view you have chosen, it opens a menu with a list (1) of all fields in different tables of the database, on the right. If this list is not what you want to see, click the “Add Existing Fields (2) button in the “Ribbon”. Click the plus icon to expand the list of a particular table (3).

Adding fields to the “Form” can be done in a number of ways.
One way is to click the field in the field list and drag it to the “Form”, a second way is to double-click the field in the field list and a third way, (but this is only useful when you want to drag several fields in the “Form”) is to click the upper field, hold down the shift key on your keyboard and click the bottom field. This selects all the fields in between, which you can drag into the “Form”. If the fields you want are not adjacent in the field list, hold the Ctrl key on your keyboard pressed while you select the other fields.

If you have chosen the second way, then the fields alignment varies.

As you can see in the picture above, each field consists of two parts, you have the “Label” (1) and the “Text box” (2).

If you wish to move the selected fields, place the cursor over the edge, when les37_image005_enit changes into a four-arrow, (1) click and drag it to the desired position.

However, if you wish to move only the “Label” or just the “Text box”, then click and drag the block to top left of the field (2).
If you want to delete a field from the “Form”, select the text in this field and click the “Delete” key on your keyboard.
If you want to remove only the “Label” of the field, select the “Label” and click the “Delete” key on your keyboard. As you can see in the image below, the “Label” of the “Zipcode” field is deleted.

When you are ready, right-click “View” button (1) and select “Form View” (2) in the drop-down list.
This displays the “Form” as it looks.

If you are finished, close the “Form”. You can always change it later by re-opening the “Form” by right-clicking it and choosing “Design View” in the drop-down list.
