Lesson 86: Protecting “Workbooks”

“Worksheet” protection

To protect a “Worksheet”, first select the “Worksheet”.

Then click the “Protect Sheet” button in the “Review” tab of the “Ribbon”.

This opens the “Protect Sheet” dialog box . By default, there are three boxes checked.

This “Worksheet” will help us protect users against changes in the data cells .There are multiple checkboxes in this dialog, to restrict the actions of users of our “Worksheet”.

When the box for the password is blank, sheet is not secured and anyone can open the “Worksheet”.

If you have entered a password, then remember it, otherwise you can not make any changes in your “Worksheet”.

 

To unprotect, click the “Unprotect” button.

If your “Worksheet” was protected with a password, you also need this password to unprotect it.

 

“Workbook” protection

To protect a “Workbook”, click the “File” tab in the “Ribbon”, choose the “Information” category, click the “Permissions” button and click the “Encrypt with password” option.

In the dialog that appears, you will give a password for the first time and click OK.
Then you give the password a second time , and click OK again.

 

Attention:

“Excel” cannot recover lost or forgotten passwords. So keep a list of passwords and corresponding file names in a safe place.

 

Protecting Cells

If you have invested a lot of time in creating “Formulas”, I think it is useful to protect these cells against other users accidentally or intentionally changing the information

 

The first thing you do is unlock the entire “Worksheet”.

First select the entire “Worksheet” by clicking the “Select All” button at the top left of the “Worksheet”.

 

Then, under the “Home” tab, in the “Font” group, click the arrow at the right corner (1) to open the dialog box.

In the “Format Cells” dialog, select the “Protection” (2) tab and uncheck the box for the “Locked” (3) option.
Then click the OK button (3)

This unlocks all cells in the “Worksheet” .

Next, you can lock only the cells you want to, in the “Worksheet” .

Under the “Home” tab, in the “Font” group, click the arrow at the right corner again , to open the dialog box.

 

In the “Format Cells” dialog box, select the “Protection” tab again and uncheck the “Locked” option.

Then select the “Review” tab in the “Ribbon” and click the “Protect Sheet” button.  Enter the desired password, and click the OK button.

Repeat this password again to confirm, and click OK

 

 

 

 

 

If , after this, you want to change these cells, a window will appear with the message that this cell is protected.

If you still want to change these protected cells later, you must first unprotect the respective cells using the “Unprotect” button in the “Ribbon” .

Again, you will be asked for the password, so remember it.
