Setting a Time-scale

By default, the time scale of a calendar is set to 30 minutes. If you want to change this, select the “Time Scale” button in the “View” tab and then select an option from the various preset time scale options found in the drop down menu.  When you change the time scale, the block, to the left of the calendar which represents the hour will also change.  For example, a time scale of 15 minutes will have an hour clock of 4 blocks, while a time scale of 30 minutes will have only 2 blocks.This is simple logic. There are only 2 half hours or four quarters in an hour.

 

Setting Holidays:

In Outlook we have the option of scheduling holidays in different countries.  This comes in handy, especially when you are scheduling meetings.  There is nothing more annoying than to have a meeting scheduled on a holiday.

In order to schedule holidays, we return to the background view of Outlook.

Select the “Calendar” application and under the “Calendar Options” section, click the “Add Holidays” button.

 

In the window that opens, you can select one or more countries where you want to schedule your holidays.

This is very useful for those who work with people in different countries.

 

Time Zones:

For those who work with persons from other countries, it might be useful to display the time zones in the calendar.
To do this go back to the background view.
Select the “Calendar” application and under the “Time Zones” section, select the “Show a second time zone” check box.
Select the required time zone from the list.
For example, UTC-6, is the time zone for New York.
Click Ok when you’re done.
You’ll see that both zones are now added to your Calendar.

Calendar Color:

Whenever we create a new calendar, the default color that is set, is tan.  If you want to change this, select the “View” tab, click on the “Color” button in the ribbon, and select a color from the drop-down menu.

 

Displaying week numbers:

To display the week numbers in a month view of your calendar, we return to the background view.  We again select the “Calendar” application and under the “Display Options” section we select the “Show week numbers in month view and in the Date Navigator” check box.

 

Reminders:

The last option for Calendar that I’m going to discuss is “Reminders”. The default time scale set for reminders is 15 minutes.
If you want to change this, click on the arrow pointing downwards and select another option.

FYI: A reminder is a symbol that Outlook will display to remind you about an appointment.
So when this is set to 15 minutes, you will get a reminder 15 minutes before your scheduled appointment.
