Adding items to your “Calendar” (1)

We can enter different types of items, in our “Calendar”.

The different types of items that you can enter are an “Appointment”, a “Meeting”, an “Event” and a “Task”.
The difference between an “Event” and an “Appointment” is that you can still schedule something else during the time scale of an “Event” but you can’t do the same thing for an “Appointment”.

For example, you have an “Event”, such as, the anniversary of your son or daughter, which lasts a whole day, but it need not take up a whole day of your time. You can still attend a “Meeting” or a finish a “Task”.

 

Another example is of a football match being broadcasted on TV. You can easily match while you finish some other “Task”. I leave it up to you to decide whether the quality of the “Task” will be affected or not, but this multi-tasking is possible.

 

Inserting an “Event”

To add an “Event”, place the mouse pointer on the blue bar below on the dates in the “Calendar”.

When a bar of blank space appears, click on the bar and start typing the subject of the “Event”.

Click anywhere outside this bar when you have finished typing.

An “Event” is always marked for a whole day on your “Calendar” and is shown as “Free”.

 

This can be seen when you open the dialog box of this “Event”:

If you want to make any changes, double click on the “Event” in the “Calendar”.
This opens the dialog box wherein you can include the start and end times, and a few other options.

If you change the time period of an “Event” to less than 1 day, it is automatically treated as an “Appointment” and this is also automatically marked as “Busy”, in your “Calendar”.

However, If you want to mark this as “free”, you can always change this option by clicking on the arrow pointing downwards on the “Show as” tab and select the “Free” option.

 

Inserting an “Appointment”:

As in other cases, we can schedule an “Appointment” in our “Calendar” in various ways.

One way is to place the mouse pointer on the hour and day that the “Appointment” is to be scheduled. When a bar of text appears, you can click on this bar and start entering the subject of the “Appointment”.

 

A second way is by clicking the “New Appointment” button in the toolbar. This opens the “Appointment” dialog box in which we can enter more details regarding this “Appointment”. Select the “All day event” checkbox  to change the “Appointment” to an “Event”. This is what we have already seen in the previous lesson.

A third way is to right-click on the “Calendar” and choose “New Appointment” in the drop-down menu that opens.

A fourth way is to click on the “New appointment” button in the “Home” tab.

You can insert an “Appointment” in all these ways.
