Grouping “Calendars”:

When we have a lot of “Calendars”, it can sometimes be useful to group some of them.  For example, I have the “Calendars” of two members of my staff that I don’t need, unless I have assigned some work to them.  In order to group these “Calendars”, right click on “My Calendars” and select the “New Calendar Group” option from the pop-up menu.

 

Give the group a name.

 

You can click and drag these “Calendars” to the group.  If you want to see the “Calendars” of this group, you only need to click on the check box of this group.  This is very useful when you have to compare different “Calendars”.

 

Comparing “Calendars”:

if you have various “Calendars”, it can be useful to compare them in order to prevent duplicate appointments.  The first requirement is that the “Calendars” that you want to compare are open.

Click the left arrow at the top of the “To-do bar”.

 

This places both “Calendars” one above the other, so that you get a clear idea of all the scheduling problems. As you can see in the image below, I have a problem on Monday, November 14. I have to attend a meeting which is scheduled for the entire morning, and I have a party at 11 o’clock.

 

In order to move one of them, preferably the party, click and drag it to the desired hour.

 

Viewing a “Schedule”:

Another way to compare “Calendars”, is with the help of the “Schedule View” option. As mentioned earlier, first open all the “Calendars” you wish to compare, then click and drag the overlapping appointments to a time scale. The smart ones among us can also shorten the time of the meeting. Then place the cursor over the edge of the item and click and drag it until you’ve reached the desired length.
