“Package Presentation for CD”

If you want to play the presentation on another computer even if “PowerPoint” is not installed on that computer, we use the “Package Presentation for CD.”  This does not mean that we only use this option to store the presentation on a CD, we can as well store on a DVD, USB drive, network, or on any other storage device.

What this option does is, it takes all the necessary files such as presentation, sound, video, fonts, in short, all other files that are used in the presentation and creates a package.

This option is also found under the “Save and Send” tab in the “Backstage” view .
Select the “Package Presentation for CD” and click the “Package for CD” button.
This opens the “Package for CD” (1) dialog.

 

In the textbox, type a name for the package.
On the list of files that will be packed, “PowerPoint” already added (A) our presentation.

 

 

If you want to add files, click the “Add” button, navigate to the files that you still want to add and click “Open”.

You can add as many files as you want

Clicking the “Options” button opens a new window where you have some options.

 

Let me go through this once.

You can uncheck the first two “Linked files” and “Embed TrueType fonts” checkboxes. If they are selected,  the “packed” file becomes larger.
If you want to email the packed files, this is not a good idea. So, you better un-check these options.

In the boxes below, you can set a password for viewing the presentation, and / or to edit the presentation.
When working with passwords, you must remember them, otherwise you will have a problem later.

With the last “Inspect presentations for inappropriate or private information” option, we can verify slides for hidden, “name”, “company name” and any other sensitive information.

If this is checked, this will notify you when you play your “PowerPoint” presentation .
Click the Ok button when you’re done;

 

Back in the “Package for CD” dialog, choose “Copy to Folder” or “Copy to CD”.  Choosing the first option, displays a dialog box where you type in a folder and choose a location where you want to save this packed file.

 

 

If you have you selected “Copy to CD”, then make sure that you have inserted a CD into the CD burner.
