Lesson 59: Protect Presentation

Encrypt Document

We have a number of options to protect our presentation against unauthorized access.

The first way is to provide a password.

Open this “Backstage” view, choose the “Info” tab and click the “Permissions” button.
Select “Encrypt with password” in the drop-down list.

 

This opens a dialog where a password is requested.

Type a password and click the OK button.

A second dialog box appears where you will be prompted to type the password again.

Type the password again and click the OK button

Attention! If you forget the password, you can neither view nor edit this file later, .

 

“Mark as final”

A second way to protect your presentation is, with the “Mark as final” option.

 

 

If you choose this option, you get a dialog box stating that your presentation is marked as final.
Click the OK button when you wish.
A second dialog box appears, where you must confirm this option by clicking the OK button.
At the bottom of the application window, an icon appears in the status bar (1).

With the “Mark as Final” option you can make it clear that the file you share, is a completed version. This will also help prevent reviewers or users to make changes inadvertently to the document.

 

The “Mark as Final” option is not a security feature. Anyone who receives an electronic copy of the file that was marked as final can edit this file by the removing the “Mark as Final” status at the top of the window (2).

 

Digital Signature

A third way to ‘protect’ your presentation is with the “Add a Digital Signature” option.

It does not promise much protection but, you should really see this as a signature in a letter.

 

If you choose this option, you first see a dialog with your data.

Click the “Create” button when you are satisfied with this. If this is not the case, you can customize it.

In the second dialog box will give you a purpose for adding the signature.
For example, an attachment to a colleague who must approve the presentation.

 

And in the third dialog, you again confirm this.

Down in the status bar, an icon is displayed. When you click it, the “Signatures” panel opens on the right side of the application window.  When you click on the signed name and click the downward pointing arrow that appears, you have the option to view details of the signatory, or delete the signature.
