Control Options

You’ve probably noticed that some errors get corrected automatically, while typing, and others only after the red wavy line appears under the word.

Ocassionly green wavy lines also appear.

This occurs so that we can set these options, ourselves.

To do this, we go to the backstage view, and click the “Options” button.

In the “Word Options” dialog box, select the “Proofing” category.

 

In this section of the dialog box, we have a lot of options which can be set.

At the top we find “AutoCorrect Options’.

We’ll discuss “AutoCorrect Options” in greater detail, in the next lesson.

But, let us first consider the rest of the options in this category.

 

When correcting spelling in Microsoft Office programs” (1) Section:

The first text box, “Ignore words in UPPERCASE”, is checked by default. However, if you wish that Word ignores these commands then uncheck this box by clicking it.

The same applies for second and third boxes. The second is for words with numbers and, the third for Internet and file addresses.

If the next box is checked, an error will be displayed if the same, incorrect word is entered twice.

The next box, which is “Enforced accented upper case in french” should be checked if you want to check spelling of French text using the new spelling rules.

This is, perhaps, useful while working with French texts. You can specify whether uppercase letters without accents in the spelling, should be displayed as spelling errors.

The last option of this section is selected if you do not want words that are not included in the main dictionary, to be highlighted, if they are mis-spelt. Since this does not apply to us, let this box be unchecked.

“When Correcting spelling and grammar in Word” (2) Section:

The first box is “Check Spelling as You Type” and, when this is checked, the mis-spelt word is immediately underlined in red.

For the second box, you should know that the Word spell checker can only find and highlight contextual spelling errors. Have you ever typed a mistake similar to the following example?
‘I will see you their’. Select this option, if you want to handle and correct such errors more easily.
If you work on a computer that does not have much memory, you can turn it off.

The third and fourth box should be checked, if you want to check the grammar.

The option “Show Readability Statistics”, displays the Word 2010 document, after a review of the grammar, writing style and readability.

Lastly, we have the “Writing Style” option that can be set.

 

Finally, we have the “Exceptions” (3) section.

These two check boxes need no further explanation, since they refer only to the open file.

 

Click “OK”, when you finish selecting the various settings

 

Fonts

In Word, we can use various fonts.
By changing a font, we can change the “look” of our document.
The “Font” button is found under the “Home” tab of the ribbon.

Click on the downward pointing arrow, if you want to change the font.
This gives us a list of all fonts that are installed on our computer.
When we move our mouse pointer over a font, the selected text, in our document, is automatically displayed in this font. You do not have to click the font to see an example. This is a new feature in Word 2010, and is called Live Preview.
I think its a big improvement.
If you want to use the font, click it.

 

Similarly, for the font size, click the downward pointing arrow and select the desired size. The option also features a Live Preview.

 

The other buttons in the Font group are all quite clear and need little explanation. I will move on.
To the right of the “Font” text box, we find the “Grow Font” and “Shrink Font” buttons .

We also have the “Clear Formatting” button, to remove any kind of formatting that you do not like.

We also find the buttons “Bold, Italic, Underline, Subscript and Superscript, Case, Text Highlight Color, and Text Color” in this group.

These are all quite clear.
The “Change case” button can sometimes come in handy, especially when the “Caps Lock” key on your keyboard is in off mode.

 

If you wish to set different formatting options at a single go, click the arrow pointing right, at the bottom right corner of the “Font” group. This opens a dialog box, where you can set various options for your text.
