Using AutoCorrect for texts:

In the previous lesson, we saw how we can add auto corrected words to our list, manually and, also with the help of the Spelling checker.

But there is lots more, AutoCorrect can even enter a lot of text in documents.

For example, if we are looking for a job, we need to send hundreds of letters to different companies.

We would like to send certain parts of this letter to all companies. We can do this by copying and pasting data in different letters.

There is also a solution to do this with AutoCorrect.

 

First select the text you want to add to the AutoCorrection (1).
As an example, I select two pages of text from the document.

I then navigate through the backstage view to the “AutoCorrect” (2) dialog box.

In the “Replace:” text box, enter a code that you want in place of the the text in the “With:” text box. For example, zz (3).
In the “With:” (4) text box, the text that was selected in our document, will already be placed.
If your text is formatted, select the “Formatted text” (5) radio button. This will retain the formatting.
Click the “Add” button (6) when you’re done. This will add this auto-correction to the list.
Click OK.

 

Whenever I type the letters zz followed by a space, Word will automatically enter the whole text in my document. The formatting will be retained only when this radio button is selected.

 

Inserting Exceptions:

The AutoCorrect feature allows us to give a number of exceptions.
To do this, navigate back to the “AutoCorrect” dialog box.
In the “AutoCorrect” dialog box, click the “Exceptions” button.
This opens a new dialog box with three tabs.
The first tab is used to ignore case after typing a period.
For example, after an abbreviation.
There are a number of standard words that are already filled by Word, but you can still add your own.You can do this by typing in the upper box, and clicking on the “Add” button.

In the second tab you can add words that begin with two capital letters, eg MEdicaid.

Thus it will not be considered a typographical error, and will, therefore, not be corrected.

 

In the third tab you can enter exceptions that do not belong to any of the previous tabs.

 

To remove an exception, select the exception, click the “Delete” button, and click OK.
