Formatting a Paragraph

You can see different layouts of paragraphs in the toolbars.

wimage2les6_en When you start working on a new document, the text is usually “left aligned”.

wimage3les6_en If you want your text to be “right aligned”, select the text and click on the right align icon.

wimage4les6_en If you want to set your text to centered, select the text and click on the “Center” icon.

wimage5les6_en When you click on the “Justify” icon, the text is evenly adjusted on both edges of the page.

First select the entire text or paragraph, and then click on the ‘Justify button. Word’97 automatically adjusts the distance between the words.

With the “Increase Indent” icon you can quickly indent any paragraph with ease. You can place the cursor anywhere in the paragraph and , whenever you press the ‘Increase Indent’ button the entire paragraph is evenly spaced to the right side of the page.

To move the paragraph again to the left side of the page, click on “Decrease Indent” icon.

We can also indent only the first line of the paragraph:

  • place the cursor on the first line of the paragraph.
  • click the left mouse button on the small triangle that appears on the top left side of the ruler, and you can see a dotted margin.
  • drag the indent marker with the left mouse button to the right
    to the desired location and let go the mouse button.

Note: If you want to indent the entire paragraph except the first word it is called a “Hanging” indentation.

“Hanging” indentation

  • place the cursor before the first word of the text where you want to begin the indentation
  • Press the tab key to separate the indentation from the part of the sentence that is not to be indented
  • click the left mouse button on the bottom triangle and drag it to the right, and release the mouse at the desired location.

Make a left indentation:

  • First place the cursor in the paragraph
  • click and drag the rectangular icon
  • Release the mouse at the desired location

Make a “Justify” indentation:

  • place the cursor in the paragraph
  • drag the right triangle of the paragraph mark on the ruler to the left.

With the “Paragraph” menu, we can acheive even greater accuracy for a paragraph:

  • place the cursor in the paragraph
  • click on the “Format”  menu
  • click on “Paragraph”

  • In the “Indents and Spacing” tab, the formatting of the paragraph can be determined. correctly

You can also determine the spacing (default is set to single space), press the down arrow on the line spacing to view in the preview.

  • After entering the desired settings, press OK to close the Paragraph dialog.

You can always press the Enter key twice to insert a blank row, but you can also determine the number of empty spaces needed between the paragraphs :

  • select the paragraphs that you want to add the space to
  • click on the “Format”  menu
  • click on “Paragraph”
  • in the “To”, fill in the required blanks
  • press the Tab key
  • fill in the ‘after’ box
  • press OK
