The “Quick Access” toolbar

The “Quick Access” toolbar gives us the opportunity to execute commands with one click. This toolbar has three standard buttons “Save” (1), “Undo”(2) and “Redo” (3).

The “Quick Access” toolbar can not be removed from the screen. However, one can change its position.
1. You can place it above the “Ribbon”, which is the default setting, or
2. You can place it below the “Ribbon”

In order to move it below the “Ribbon”, right click on a command in the “Ribbon”, or a command in the “Quick Access” toolbar, and choose “Show Quick Access Toolbar below the Ribbon” from the drop-down menu. To change this back to original position, right-click the “Ribbon” and reverse this procedure.

Customize the “Quick Access” Toolbar

By clicking the downward pointing arrow next to the Quick Access toolbar, we can add commands.

The most used commands already appear in a drop-down list.

If you want to add a command which already appears in this drop-down list , click on the command you want added. You will see that this is now checked.

If you want to remove a command from the “Quick Access” Toolbar, de-select the checkbox of the command you want to remove or right-click the command in the toolbar, and select “Remove from Quick Access Toolbar”

If you want to add a command that is not on the list, click “More Commands …”
This will open “Customize the Quick Access Toolbar” dialog in the ” Quick Access Toolbar” tab of “Excel Options”..
Here we find all the commands which are divided into categories. Click the downward pointing arrow to choose another category from the drop-down list box “Choose commands from:” (1).

Select the command in the left pane (2), and click the button “Add >>” (3). To remove a command, select the command in the right column, and click the “<< Remove” button (4).

By clicking on the up and down arrows(5), you can rearrange the position of the commands in the “Quick Access Toolbar”.

In the “Customize Quick Access Toolbar:” (6) you can choose whether you want these settings for all documents, or just for the document in which you are currently working.

If you want the toolbar to revert to displaying the standard default buttons, click the “Reset” (7) button. Choose “Reset only quick access toolbar ” in the drop-down list.

If you are finished with your settings, click the OK button.

Two more tips!

  1. If you want to add a button from the “Ribbon” to the “Quick Access” toolbar, right-click the respective button and choose “Add to Quick Access Toolbar” in the drop-down menu.
  2. If you want to remove a button from the “Quick Access” toolbar, right click on it and choose “Remove from Quick Access Toolbar” in the drop-down menu.

Export / Import customizations

If you wish to use the settings of the “Quick Access” toolbar and the “Ribbon” on another PC, click the “Import and Export” (8) button.

Select “Export All Customizations” in the drop-down menu. Save this customization file, for example on a USB stick.

Place the stick in your second computer or laptop.

Open “Excel” on the second computer or laptop. Open the “Excel Options”. Choose either the “Customize Ribbon” category or “Quick Access Toolbar”. Click the “Import and Export” button. Select “Import File Modification” in the pop-up menu. Select the newly exported file to the USB stick. Click the “Open” button. And click the “Yes” button when asked if you want to replace the existing customizations.

This action will replace all current “Ribbon” toolbar and the “Quick access” application settings on your laptop with the ones you just imported.
