Inserting Graphical objects

The simple way to insert graphical objects is by using the ‘Drawing’ (Drawing) toolbar. You find it under the View menu (View) ® – ‘Toolsbar’ option (Toolbars), Or by clicking with the RIGHT mouse button on an empty space in the toolbar. Once you select it appears at the bottom.

The process is the same for all of these buttons:
-Click on the button in the toolbar and release the mouse.
-You choose the place in your worksheet where you want to place the drawing with the mouse button and drag it to draw.
So you can easily draw lines, rectangles and ovals.

To draw a square or a circle hold down the Shift key while dragging.

The ‘AutoShapes’ button is used to draw polygons:
-Click on the ‘AutoShapes(AutoShapes).
-Choose where you want to start drawing and drag your mouse to the first corner and click again. Repeat this for each vertex and when you want to make the final vertex click twice at the end of the drawing.

To draw several figures of the same type, double-click on the Drawing button, draw the desired number of shapes and click on the button again to turn it off.

To change the colorof certain figures, select the figure, press the arrow button next to the ‘Fill color  and choose a color.

Insert a text box:

  • Click on the “text box” 
  • Click on the place at the top left of the text area and drag it to the desired size.

You can always change the size of the text box by selecting and dragging the selection boxes on the edge of the text box.

You can always change the formatting of the text by selecting the textbox and double clicking on the edge.

The cursor changes to a flashing line, type your text, the text flows automatically into the text box, press the enter key to break it into the next line.
-Click anywhere in the worksheet to leave the textbox.

Linking text to a cell:

  • Type a text in cell A10
  • Specify the text formatting to your liking
  • Click on ‘box’
  • Click anywhere in the worksheet where you want to place the text
  • Click and type ‘= A10’ in the formula bar:

Whenever you change the text in cell A10, the text is also changed in the link cell.

Inserting images:

  • Click on ‘Insert’ (Insert) And select the submenu “Picture” (Picture).
  • You now have the choice to insert a logo or image from a file on the hard disk, or an image from the ‘Clip Art’ collection included in Excel.
  • Choose eg. ‘Clip Art’.
  • Choose the desired picture and press OK.
  • The image is inserted.
  • You can still edit this image in Excel. (See below)

Format Graphical Objects:

To move, resize, add or change graphical objects, one must first select the object:

Selecting objects:

To select a filled object, click anywhere in the object.
To select a non-filled object , click on the edge of the object.

You can select multiple objects using the ‘Select’ button on the drawing toolbar.
Click on the “Select’ button and drag a box around the objects you want to select .
You can select several objects by using the Shift key. Click the first item and hold down the Shift key while you click on the following objects.

To deselect, click anywhere in the worksheet.

Resizing objects

Select the object, and you will see little squares that will appear around the edge of the object (selection handles).
Place the cursor over the selection handle to reveal a double arrow, drag the selection handle to bottom, upper left or right until you’ve reached the desired size.
In order to delete the object hit the “delete key”.

If you want to increase or reduce the size, but preserve the ratio of dimensions, hold the Shift key while you drag to resize.

Deleting, moving and grouping objects:

Move an object by selecting and dragging it.
Remove an object by selecting it and pressing the Delete key.

You can place multiple objects on each other using by the “Send to Back” or “Bring to Front” buttons in the drawing toolbar.

You can group several objects together so they form an object:

Select the objects

Select the “Grouping” option in the toolbar . 

Grouped objects can be moved, or resized.

A grouped object can be ungrouped by pressing the ‘Ungroup Object’ button.

To copy the object to another location on the same page, drag the object while holding the ‘Control’ key.

To copy the object to another worksheet, select the object, click on the Edit menu (Edit) while holding the Shift key pressed.
In the Edit menu, choose the ‘Copy Picture’ (Copy Picture) option. In the dialog select “Form as on screen” (Axis Shown on Screen) and “Format figure” (Format – Picture) And click OK, open the new worksheet, click on ‘Edit’ (Edit) While holding the Shift key pressed and in the dropdown menu choose the option ‘stick figure’ (Paste Picture).

Format Graphical objects:

For example, you can make a shadow. Select the object and click the shadow button .

You can make your object a 3D object

To get an overview of the possibilities, click on the object with the RIGHT mouse button, choose the ‘Format Picture’ (Format Picture) option from the popup menu. In the dialog you have several tabs that allow you to change the format of the object.

Conditional Formatting:

  • Click in cell I5
  • Click on the Format (Format) menu and select ‘Conditional Formatting’ (Conditional Formatting)
  • In the dialog box, select the first field “Cell Value Is” (Cell Value is)
  • In the second field select “less than” (Less than)
  • Place the cursor in the third field and choose H5

Excel automatically creates an absolute reference by placing $ signn in front of the row/column numbers, remove the $ signs if this is not your intention.

  • Click the Format (Format)
  • Choose in bold and red
  • Click OK
  • Click OK
  • Select the cell I5
  • Click on the Copy button (Copy)
  • Select the other cells below and click the ‘Paste’ (Paste) button

  • all data that does not meet the specified conditions are colored red and bold
