Use of a “Summary Report”

A “Summary Report” provides an organized display of a long and wide sheet.

A “Summary Report” groups data into different levels, based on column and rows.

To make a “Summary Report”, first and foremost we must create a structured “Worksheet”, that can take

advantage of the “Summary Report”

A worksheet that has columns and rows, detailed data, totals and subtotals may benefit from a “Summary Report”.

Once the “Summary Report” is created, we can show (expand) or hide (collapse) details.

The “Summary Report” allows us to view totals and titles that would otherwise be difficult to see simultaneously.

When a report is expanded, we see all the details of this section, and a minus sign (-) will appear on top of this section.

We click the ‘-‘ sign is our report and fold it together and change it into + a character.

We can also click on the 1, 2 or 3 at the top left, to close the first, second or third level of detail.

It is thus possible to have different levels in the same section.

Create and Delete “Summary Report”

We make a “Summary report” by first selecting a “Range”.
For our first “Range” we select cell A2 to A6, sales in Europe.
Now click “Data” – “Group and Outline” – “Group …” in our menu bar.


In the window that appears we choose “Rows” (“Rows”), to select the rows that we want to group.

And click OK.

We repeat this for America (cell A8 to cell A11).

And for Africa ( cell A13 to cell A16).

And finally we can again select all, from cell A2 to cell A16.

The result is shown in the first picture on this page.

Clicking on the numbers 1 to 3 or the minus and plus signs, the sections expand or collapse.

To remove a “Summary report”, we select the “Range”, and click on “Data” – “Group and Outline” – “Ungroup …” in the menu bar.

We can also automatically make a whole worksheet as a “Summary report ”

Select a cell in the worksheet.

Choose “Data” – “Group and Outline” – “Auto Outline” in the menu.

The worksheet will automatically be divided into sections according to a logical structure.

This is quick and easy.
