Addresses on “Envelopes” (2003 and XP)

In “Word”, we can also print addresses on “Envelopes” from our table.
This is approximately equivalent to the printing of addresses on the letters.
To print the addressed from our table on “Envelopes”, we also use the function “Mail Merge” (“Mail Merge”).

To start “MailMerge” in the 2003 and XP versions, choose “Tools” (“Tools”) – “Letters and Mailings” (“Letters and Mailings”) – “Mail Merge” (“Mail Merge Wizard ..”.) in the menu bar.
This opens the “Merge Wizard” (“Mail Merge Wizard”) in the “Task Pane”.
In this example we use envelopes, so we choose “Envelopes” (“Envelopes”) and click “Next” (“Next”)

In the next window we click the “Envelope options” (“Envelope options”).
This opens the “Envelope Options” (“Envelope Options”) dialog

In this dialog we have two tabs:
“Envelope Options” and “Print”.
In the first tab we choose the size of our envelopes, and we set the font for the sender and receiver.
You see an example of our envelope at the bottom of the dialog.
In the “Print” tab we choose the envelope feeder.
Click OK when you are satisfied.

Before we proceed to step three of the wizard, we get the data of the sender (you) in the top left.
You can enter this information, or you can import a logo.
If you choose the later, click on “Insert” – “Picture” – “From File” in the menu bar.
Select your logo on your hard drive and click on “Insert”.

In the “Task Pane”, we continue with “Merge”, which is the step three.
So click “Next: Select Recipients” (“Next: Select recipients”).
In step three, we select “Use an existing list” (“Use an existing list”).
And click “Browse” (“Browse”).
Select the data source on your computer and click “Open”.
In the next dialog box that opens, we make our choice and click OK, because we want to print envelopes for all members. If this is not the case, you select only those for which you have to print an envelope, in this window.
Click OK.

Click on “Next: Arrange your envelopes” (“Arrange your envelopes”).
Click on “Address Block”.

Choose a format for the printout of the addresses.
And click on the “Fields”.

Choose the fields from your table that you want in the address.
Click OK.
And click OK again

Click on “Next: Preview your Envelope” (“Next: Preview your envelopes”).

In step five of the wizard, click “Next: Complete the merge” (“Next: Complete the merge’).

And in the last step of the wizard, we can print the envelopes.

Addresses on envelopes (2000 and ’97)

To print addresses on envelopes in the versions 2000 and ’97, we choose “Tools” – “Mail Merge” in the menu bar.
This opens the “Mail Merge Helper” dialog.
Click the “Create” button, and select “Envelopes” from the dropdown menu.
Click “Active Window” or “New Main Window”, that does not matter.

In step two, click “Get Data” and select “Open Data Source”.
Select your table on your PC, and click “Open”.
Click “Set Up Main Document” to continue.

In the “Envelope Options” select the “Envelope Options” tab, select the size of the envelope, and give the font for the receiver and sender.
In the “Printing Options” tab select the envelope feeder.
Click OK when you’re done with your settings.

In the next dialog “Envelope Address”, we add the fields for our envelopes.
Click on the “Insert Merge Field” button and choose the fields you want to add.
Click OK when you’re done.

As a last step, we click the “Merge …” button in the “Mail Merge Helper” dialog.
In the “Merge” dialog box, choose “New Document”.
And click the “Merge” button.

Click the “Print” button in the “Standard toolbar” to print your envelopes.
