Creating a ‘Macro”

First and foremost, for those who do not know what a “Macro” is, it is a series of automated actions, which carries out one or more tasks by simply pushing a button.
A “Macro” takes the actions you perform on your keyboard and stores it as a “Visual Basic Module”.
When we want to repeat all these steps later, we only have to press one button to do them.
As an example, suppose you have the name, address, fax and phone number on every page of your document.
It would not be very useful to repeat this for each page, so we type this information once, but store it as a “Macro”.

To create a “Macro”, we use the “Macro Recorder”.
For this we choose “Tools” – “Macro” – “Record New Macro”, in the menu bar.
This gives us the “Record Macro” dialog box .
In the first section we give the “Macro” a name. We cannot use spaces in “Macro” names.

The second box, “Store Macro in:”, we leave it as it is, namely “All Documents” (“Normal.dot”).
A “Macro” can only be useful when it is attached to the document.

And in the third box we could give a description for the “Macro”.

Click OK when you’re done. All keystrokes are recorded from then on.
The “Stop Recording” toolbar appears.
Click the “Stop Recording” button when done.
That’s all it takes to record a “Macro”.

“Run” “Macro”

To “Run” the “Macro”, we should first place the cursor at the place in our “Document” where we want to execute the “Macro”.
And we choose “Tools” – “Macro” – “Macros …” the menu bar.
We select the “Macro” in the dialog box and click “Run”.
That’s it, the “Macro” is performed.

Shortcut to assign a “Macro”

To assign a hotkey to a “Macro”, we choose “Tools” (“Tools”) – “Customize” (“Customize”) in the menu bar.
Click the “Keyboard” (“Keybord”) button at the bottom of the dialog.
Select the “Macro” that you want to give for the hotkey or shortcut.
Then click in the “Press new shortcut key” box and enter a combination of keystrokes. Eg Alt+Shift+I.
Make sure that the shortcut is not already existing, otherwise it will be overwritten.

Click twice on “Close” to return to your “Document”.
