Junk e-mail

In the 2003 version of Outlook, there is something that has changed in terms of processing unwanted mail.
To block unwanted e-mail, you must first select the folder you want to filter.
And then click on “Actions” – “Junk Mail” in the menu bar.
This opens a new “Junk E-mail Options” dialog:

In the “Options” tab, select how you wish your Outlook junk mail to be handled.
Note that, at the bottom of this tab, you also have the option of removing the e-mail for good instead of moving it to another folder.

In the “Safe Senders” tab, we can enter email addresses of persons from whom we still want to receive e-mail.
In the “Safe Recipients” tab, we can enter e-mail arddess of people to whom we still want to send e-mail.
In the “Blocked Senders” tab, we give the list of email addresses that we want to block.

When you have placed all these rules, click OK.
In future, when you want to add an e-mail to any of the above enumerated tabs, just select the email, and choose “Actions” – “Junk Mail” in the menu bar and select the action you want to perform from the drop-down menu.

In the versions 2000 and XP, it is a little more work, we select our folder first, and click “Tools” – “Organize” in the menu bar.
This opens the “Ways of Organizing”.
Below this window, click the “Junk Mail”.

Click on the “Turn on” buttons:
one for junk mail and another for adult content.
Close this window by clicking the X on top.

This brings us back to the Inbox folder.
In this folder we can select the email if we want to see this treated as “undesirable” in the future.
We choose “Actions” – “Junk Mail” in the menu bar, and make a choice from the drop-down menu.

Click OK in the window that appears.

To delete addresses from our list of junk e-mail, go back to the “Ways of Organising” window.
Click on the link “click here”.

And click one of the two links to edit the list of senders.

In the list that appears select the email address and click the “Delete” button.

Store Items in Categories

We can store any item from any folder in a category.
To do this, first select the item, and click “Edit” – “Categories” in the menu bar.
This opens the “Categories” dialog.

Choose from the available categories, and then click OK.
To remove this back from the category (ies), we go the same way.
We select the item, click “Edit” – “Categories” in the menu bar, and in the dialog uncheck the box from the category.

Finding Items

In Outlook we can search for any item that is located in one of our directories.
ie; message, task, notes, contacts, it does not matter.
Click on “Tools” – “Find” – “Adavnced Find” in the menu bar.
This opens the “Adavnced Find” dialog:

In the top left box “Look For”, we first give in the type of item we want to search:
messages, files, people etc…
We click the “Browse” button, we can enter in any Outlook folder to start searching.
But depending on what we have chosen in the first box, we can set criteria in the rest of the dialog.
Enter your criteria and click on “Find Now”.

Outlook will show you all items that meet your criteria.
Click the X in the upper right corner to close the window.

Group items Folders

We can group items in a folder to get a better overview.
Let us take the tasks folder.
I want the tasks already completed, and the tasks remaining to be performed, in separate groups.
Click on “View” – “Current View” – “Current View” in the menu bar. (For versions 2000 and XP)
For the 2003 version, click “View” – “Arrange by” – “Current View” – “Current View” in the menu bar.
In the “View Summary” click the “Group By …” button.
Choose the first box from the drop-down menu, in this case I choose “Completed”.
You might enter more criteria in the following subjects, but in this case this is not necessary.
Click OK.
At last, distinct groups are created.

Click on the – and + to collapse or expand the groups.

To back off from the groups, do exactly the same, but choose (none) from the drop-down menu in the first box.

The use of filters

We can use filters in all folders of Outlook.
A filter will remove some items from a “filter” folder that do not meet certain criteria.
Example, you can filter out on the “From:” box in an email, and thus display only the mails from the contacts that are important.
To filter we click on “View” – “Current View” – “Current View” in the menu bar. (For versions 2000 and XP)
For the 2003 version, click “View” – “Arrange by” – “Current View” – “Current View” in the menu bar.

In the “View Summary” click the “Filter” button.
In our case we click on the “From”.
From the list of contacts, we select those that we are important enough, and click on “From ->”.
Click OK when you are satisfied.
Click OK again to apply the filter.
