Determining Margins

Before we begin to write a new letter we need to determine the right margin, as we already learnt in Lesson 2:

  • Double-click on the light grey part of the ruler
  • a “Page Setup” dialog box appears

  • Click on the Margins tab
  • Enter the margin values:
  • 5 cm in the ‘Top’
  • Press the Tab key to jump to the next box
  • 3 cm in the ‘Bottom’
  • Press the Tab key to jump to the next box
  • 3 cm in the ‘Left’
  • Press the Tab key to jump to the next box
  • 3 cm in the ‘ ‘Right”
  • Press OK

In the status bar, we see that the insertion is at 5 cm

  • Type an address
  • Select address
  • Click and drag the rectangular symbol of the paragraph mark in the ruler to 7.5 cm
  • Click “Close”
  • Check the position of the address information in “Page View” or in the ‘”Print View” option.
  • You can use the “Preview” button and then click on “Close” to return to the “Normal View”
  • Click anywhere on the worksheet for placing the selected  address
  • Click and drag the paragraph mark back to the zero position for typing the actual letter
  • Type the letter

 

  • If your letter needs a second page, then the top margin setting needs to be adjusted
  • place the cursor where you wish to begin a new page
  • click on the ‘Insert’ menu to select the ‘Break’ option
  • A dialog box for the “Break” option appears
  • click on the ‘Next Page’ in ‘section break types’ box

  • click OK

A line mentioning “End of Section” is seen.

  • Word places the cursor on the next page
  • We can set the the margins of the following pages by double clicking in an empty part of the ruler
  • in the “Margins” tab, we can adjust the top margin to eg. 2 cm
  • in the ‘Apply to’ choose “From this point” so that the top margin of 2 cm is applied to all the following pages.
  • click OK
  • type the letter further
  • we can still see the letter in the preview.
  • You can Save the letter by clicking on the “Save” option

Margins for Duplex and Bound documents

If you want to go for double-sided printing and bind document like a book, you must work with custom margin settings.
These must be set before you begin.

  • click the New button to create a new document
  • double-click the grey area of the ruler
  • select “Mirror margins” (Mirror margins) from the drop-down menu

  • In the ‘margins’ set the edit the ‘Left’ which is now called ‘Inside’ (inside)
  • Edit the ‘Right’ that is now called the  ‘Outside’ (outside)
  • In the ‘Gutter’ (gutter) we determine the space required for binding, so type in 2 cm
  • Choose  the ‘Whole document’ (whole document) in the ‘Apply to’  box
  • Click OK
