Print addresses on envelopes

Printing addresses on envelopes in Word’97 is a piece of cake.
First we must enter the address of the sender.

  • Click on the “Tools” menu and then click “Options”
  • Choose the “User Information”  tab
  • In the “Mailing Address” field, we type the address of our company:

  • Click OK

The first step is already done. Quick, isn’t it?

  • Open a new document
  • Click on the “Tools” menu bar
  • Select “Mail Merge”
  • A dialog box appears
  • Then click on “Create” in the”Master Document”
  • Choose the “Envelopes” option in the list
  • Select “Active Window”
  • Click on “Data”
  • Click on “Open Data Source”
  • Open the file with the database (in our case: “Notaries addresses”)
  • There appears a window where it states that we need to set the main document
  • Click “Set up main document”

  • Again the “Envelope Options” dialog box appears:

  • Select the correct dimensions for the Envelope
  • and set the font for sender and recipient
  • If you notice, the location of the addresses is also changed
  • Click OK if you are satisfied
  • Again we get a dialog box

  • Here we have to merge fields from our database that we wish to print on the envelopes
  • Click on the “Insert Merge Field” button
  • and enter data for different fields, optionally separated by a space or a comma.
  • Click OK when all information has been entered
  • Click on “Merge” in the third step of our dialog

  • The “Merge” dialog box appears
  • Choose “Merge to” “New Document”
  • Here you can also select whether you want to print “All Records” or records From … or … To a certain range.
  • You can also choose to merge and print records with or whithout blank lines when the data fields are empty.
  • Click on “Merge” if all settings are as per your liking
  • All envelopes are immediately displayed on the screen
  • Slide the slider down to check
  • If you wish, you can save the document

Print addresses on labels

Printing labels is exactly the same as printing of addresses on envelopes.
The only difference is that in the “Create” list, we now choose “labels” instead of envelopes.

and now we get a dialog where we should set the data for our labels, which is quite logical

Labels are displayed as a table in Word’97.
You can format the text of labels just like any other text in Word’97
