Lesson 39: Sorting Data

Sorting text/numbers:

In order to sort text in our document, we first select all the text in our list (1), and then click the “Sort” button (2) under the tab “Home” on the ribbon.

This opens the “Sort” dialog box:
In the first text box under the “Sort by” section, click the downward pointing arrow.

This opens a drop-down menu with all our different paragraphs, which is a total of 5.

Select the paragraph that is to be sorted.
In this case, I first want to sort by Name and this is Field 2 and then by the First name which is Field 2.

For clarity:
Field 1 = First Name
Field 2 = Name
Field 3 = Address
Field 4 = Postcode
Field 5 = Community

The second text box, “Type”, is set to Text, which is fine.
Remark: If you want to sort numbers, for example, when all items have a number, click the downward pointing arrow, and select “Number”.
Select “Ascending” or “Descending” as the manner in which the data is to be sorted.
And click OK.
All items are now sorted by name, and then First Name.

Sorting in tables:

Sorting data in tables is not much different than sorting ordinary text.
Place the cursor in the table, and click the “Sort” button.
This opens the “Sort” dialog box, in a slightly modified form.

The first text box, “Sort by”, now has column and column title listed in it.
At the bottom left portion, we have the option of whether we want to sort the first row.

Since the first row which is my column titles need not be sorted, I select “No header row”, and click OK.
