Lesson 45: Print Presentation

Print Preview


To create a “Print preview”, click the “Office” button at the top left of the “Ribbon”.
Select “Print” from the drop-down menu and click “Print Preview”.
This displays the slide in the same format it will be printed in.

To navigate between slides, you can use the scroll bar or the “Next Page” and “Previous Page” buttons.
When you move your mouse over the slide, it changes into a “magnifying glass” with a plus sign.
Click this to zoom in on the slide.
If you click it again (the “magnifying glass” now has a minus sign), and you can zoom out of the slide.

By clicking the “Zoom” button, you can manually enter the zoom ratio, or select one from of the preset percentages.

If you click the “Fit to window” button, the slide is displayed in full screen size.

If you click the arrow pointing downwards next to the “Print” box, you have an option to select what to print.
You can print slides, a handout, the notes, or a summary.
If you select “Notes”, you can print the top and bottom notes of this slide.
If you select “Handout”, then you can specify the number of slides you want to print per page.
We will discuss the “Handout” option in greater detail, in the next lesson.
The “Outline” option can be useful for the presenter of the slides, as this gives an overview of the various slides with their titles and bullets.

Clicking the “Options” button gives us some options on how we want to print the slides.
And clicking on the “Print” button opens a dialog box, where we can set some options which I will discuss, in the next section.

Printing slides


To print slides, click the “Office” button at the top left of the “Ribbon”.
Select “Print” from the drop-down menu.
Here we have two options to print our slides.
The second option, “Quick Print” will do what it says, i.e, it will “print” the different slides with the default printer and with default options. Nothing more, nothing less.

If you select the second option, “Print”, a dialog will open where we can specify a number of options.

The settings in this dialog box are those that would be used when you click the “Quick Print” option.

At the top of this dialog box, in the “Printer” section, next to the “Name” box, click the downward-pointing arrow where you can select another printer that is installed on your computer.

Clicking on the “Properties” button opens a second dialog box with several tabs.
All these relate to the properties of the selected printer in the “Name” text box.

The “Print Range” section determines whether to print all slides, or just some slides.
The number of copies you want to print and whether you want this sorted during printing is also determined.

In the “Print” section, you can decide what you want to print.
“Slides”, “Handouts”, “Notes”, or “Outline” are the various options.
The color, which can either be grayscale or color is also selected.

“Slides” and “Notes” seem to me clear, I’ll discuss “Handouts” in the next lesson and the index might be useful for those who show the presentation guides.
This will, indeed, also print the titles and summaries used in the slides.

Click OK when you are satisfied.
