Lesson 46 : “Handouts”

Creating “Handouts”

We can print the presentation in the form of “Handouts”, so that the audience can read it later.
To view the various options, click the “Office” button at top right in the application window, select “Print” from the drop-down menu and click the “Print” button.
This opens the “Print” dialog box, which we already saw in the previous lesson.

In the “Print range” section, click the arrow pointing downward next to the “Print” box and select “Handouts”.

After you’ve selected this option, on the right side you will see the options available for “Handouts”.
In the first box, you enter the number of slides that you want to print on one page.
Only the number 3, allows us to add text next to the slides.
Use this option if you want to add text that is not included in the slides .
Right next to the number, “PowerPoint” gives us an example of how our “Handout” will look.
For example, to see the “Handout” view on your screen, click the “Preview” button.

“Handout Master”

In the “Handout master”, we specify a design and layout of our “Handout”.
It can be compared to a slide master.
The “Handout master” option can be found under the “View” tab in the “Ribbon”.

When we click on it, the “Handout Master” tab is displayed in the “Ribbon”.
This tab is divided into five groups.
They are “Page Setup”, “Placeholders”, “Edit Theme”, “Background” and “Close”.


The first thing we do when we create a “Handout”, is to specify the number of slides per page.
Just click the “Slides per page” in the “Ribbon”, under the “Handout master” tab.

By default, the “Handout Master” has text boxes for header, date, footer, and page number. You can disable them by clicking on the checkboxes in the “Ribbon”.


To change the orientation of the “Handout” click the “Handout Orientation” button.
To change the orientation of the slides, click on the “Slide Orientation” button.

You can change the font and font color for the text boxes in the “Handout Master”, with the help of the “Font” and “Colors” buttons.
You can select a background color for the “Handout Master”.

To close the “Handout Master” view, click the “Close Master View” button.

Editing a “Handout”

Just as we can edit a “Slide master”, we can also edit a “Handout master”.
For example, select the “Header” textbox in the “Handout”.
Now specify the text of your choice.
This will be the default text for all headers in the “Handout”.

If you do not want this default filling of headers, un-check it in the “Ribbon”.

You can also add other text boxes, and then format them.
To do this, click the “Insert” tab in the “Ribbon” and click the “Text Box” button.
Click and drag it in the “Handout master” to the place it is to be inserted.

Actually, this is always the same, whether it is a “Slide master” or “Handout master”.
You can add, delete, or move what you want, except the slides. Other than this you can change anything.

Please note that when you make changes to the “Handout”, these changes are applied to all pages.
