Lesson 7: Managing Slides

Copying and moving Slides

You can copy, move or delete adjacent  or non-adjacent slides.

Firstly, for clarity’s sake, when we are in the “Normal” view mode, the slides are displayed one below the other whereas when we are in the “Slide Sorter” view mode, they are displayed side by side. In both cases, these are adjacent slides.

To select adjacent slides, select the first slide by clicking on it, keep the “Shift” key on your keyboard pressed and click on the last slide that you want selected.
To select non-adjacent slides, select the first slide, keep the “Ctrl” key on your keyboard pressed and click on the next slide (s) you want selected.

To move a selected slide, click and drag it to the required place.
To copy the selected slides, right-click and select “Copy” from the drop-down menu. Right-click on the slide after which you’d like to paste the selected slides and select “Paste” from the drop-down menu.

Copying slides from one presentation to another:

To copy slides from one presentation to another, both presentations need to be open.
In the first presentation, first select the slides to be copied.
Right-click and select “Copy” from the drop-down menu.
Go to the second presentation and right-click on the slide after which the copied slides are to be placed.
Select “Paste” from the drop-down menu.

By default, the format of our copied (source) slides is not copied.
If you want to copy the slide along with its format, click the “Paste” button, select “Paste special” and select “Keep Source Formatting”.


“Reusing Slides”:
In the previous part of this lesson, we saw how we copy slides from one presentation to another.
But from “PowerPoint” 2007 onwards, we have the “Reuse Slides …” command.
It actually does the exact same thing.
Just click on the lower part of the “New Slide” button under the “Home” tab in the “Ribbon”.
Select the “Reuse Slides …” option at the bottom of the drop-down menu.
This opens the “Reuse Slides” task pane on the right side of our window.


Click the “Open A PowerPoint file” button in the task panel.
Navigate to the file you want to open, select it and click the “Open” button.
This opens all the slides from this presentation, in the task panel.
Click the slide that you want inserted, in your new presentation.
If you want to retain the formatting of these slides, select the “Keep Source Formatting” check box, so that this is checked.

This is a second way of copying slides from one presentation to another.
Perhaps this is the quickest way. It doesn’t matter how you do it, the choice is yours.
