Lesson 54: Pivot Table Row Labels

“Row Labels”

When you want to display the data from the fields in the “Pivot table” in rows, you place a field in the “Row labels” area.

If you want to place a field in the “Row Labels”, click the box for the field in the field list, it automatically places the field in the “Row label”.
For example, I want to place the Gender field in the “Row Labels” area.

Our pivot table has two rows Male or Female without which we can not calculate the “Grand Total”.

In this example the filter next to the Gender label is used for filtering the data in the “Pivot table”.

Multiple “Row Labels”

So far we have placed one field in the “Row Labels” area. We can add multiple fields in the “Row labels” area.

As an example, I place a second field, Age in this case, in the “Row Labels” area.
So I clicked this field in the field list.
Excel automatically insert the second field below the Gender field in the “Row Labels” area.


The “Age” field is inserted next to the “Gender” field.

After including these fields, select the “Design” tab in the “PivotTable Tools”

and choose “Report layout” menu, and click “Show in Tabular form”.

This gives the Gender filed on the left, on the exterior actually, and the Age field on the right, that is in the interior.

The data is first classified according to the field on the outside, and then in accordance with the inside field.
But this is easy to modify.
As you can see in the picture above, we do not have age group 50-59 and 65 + Women.

It may become apparent when we change the location of the fields.
We can put the Gender field on the inside and the Age field on the outside.


This can be done in different ways.
1. Click and drag the Gender field down in “Row labels” or

2. Click the downwards arrow next to the field name in the “Row label” and choose one of the first two options from the drop-down menu.

Note that only totals (subtotals actually) are shown for the different groups of the field on the outside.
In this example, of course, there may be few totals calculated.
If you want to see only the subtotals for the field, you must place it on the outside.
