Lesson 82: Protecting Workbooks

82/83 Lessons

Worksheet protection

To protect a worksheet, first select the worksheet.
Then click the “Protect Sheet” in the “Review” tab in the “Ribbon”.

This opens the “Protect Sheet” dialog box. By default three boxes are checked.

This prevents the users to change the data in the cells in the worksheet.

If we check multiple checkboxes in this dialog, users of our worksheet can perform all of these actions.

When the box for the password is blank, anyone can open the worksheet.
If you have entered a password then remember this, otherwise you can not make any changes in your worksheet.
To unprotect, click the “Unprotect” button.
If your worksheet is protected with a password, you need the password to unprotect it too.

Workbook protection

We can protect Workbooks in three ways.
The first way requires a password to open the workbook.
The second way prevents users from opening workbook or modifying the workbook data.
And the third way prevents users to change the structure.

To create a workbook with a password, click the Office button in the upper left corner of the window.
Select “Prepare” from the menu.
And click “Encrypt Document”.

This opens a dialog box where you enter the password.
Click OK.

Confirm the password, and click OK.

If you want to open this workbook later, you need to enter the password.
For the second way you can click the “Office” button, and click the “Save As …” button.
In the “Save as” dialog click the “Tools” button and select “General Options” from the list..
You can make changes in the dialog box that appears, enter a password to open the workbook, or a password to modify.
Click the “Save” button when you’re done.

And the third way, protecting structure and windows, is found in our workbook.
Click on the “Protect Workbook” button in the “Review” tab in the “Ribbon”.
In the dialog that appears, choose “Structure”, “Windows”, or both.
If you choose “Structure”, you prevent users to add a worksheet, remove a worksheet, show or hide a worksheet, change the name of a worksheet, or the location of a worksheet.
When you choose Windows, you prevent users to change the dimensions of the windows.
Even minimize or maximize.

Unprotect.

To unprotect the third way of protection, click the “Protect Structure and Windows” button in the “Review” tab of the “Ribbon”.
Enter the password in the dialog.
Click OK.
