Displaying levels

When we have an outline, we can show or hide different levels in different ways.

One way is to click on the minus and plus buttons.

A third way is to click on the “Details” button or “Hide Details” in the “Overview” in the “Ribbon”.

 

A second way is by clicking on the level buttons (1,2,3 …).
The number of level buttons is dependent on the number of levels.
For example, if you wish to see the first level in the list, click the number 1, to see the second level, click the number 2, and so on.

Hide Outline Symbols

Depending on the number of levels in our outline, the outline may be at the top or on the right side of the window.

We can temporarily hide them by clicking the Ctrl key plus the 8 key on your keyboard
To do this, click the Ctrl key on your keyboard clicking 8.

Remove an outline


Removing an outline is as easy as making one.
Just click the “Ungroup” button and select “Clear Outline.”

Note that if you remove a whole outline, you can not undo this action.

To remove certain parts of an outline, first select the range of the group you want to delete.
Click the “Ungroup” button in the “Ribbon”, select rows or columns in the dialog box that appears.
And click OK

If we have removed a portion of an outline, we can restore it by pressing the “Undo” button in the “Ribbon”.

Add subtotals to a worksheet

We may at any time add subtotals to a worksheet by clicking on the “Subtotal” in the “Ribbon”.  We do not need to insert formulas, Excel does this for us.
First we must sort our data that we wish to group.
In the example below, this is easy, Europe in Europe, America in America, and Africa in Africa.
Select a cell in the range, and click the “Subtotal” in the “Ribbon”.

Attention! There must be NO blank rows or columns in our range.

This opens the “Subtotals” dialog.
In the “Add Subtotal to:” I check all the months for which I want to see a subtotal.
The function is set to SUM function, and that’s just what I need.
We have a number of check boxes to
1.”Replace current sub-totals”, 2.”Page breaks between group”. 3 “Summary below data”.

If the later is not checked Excel puts all subtotals and totals above the data.

Click OK
Subtotals, Grand Total, and a survey area will be added automatically.

Removing Subtotals

To remove the subtotals , we click again on the “Subtotal” button in the “Ribbon”.
Click the “Remove All” in the bottom left of the dialog box,.
That’s it.
