Lesson 78: Printing Worksheets

Print Preview

What you should know if you print something, the print will look the same as the worksheet that appears on the screen.

Click the “Print Preview” button to preview.
If you do not find this button in the “Quick Access” toolbar then do so. You will use this button several times.
Click the “Office” Button, click the “Excel Options” button, select the tab “Customize”, and place  the “Print Preview” button from the left field to right field.


One trick might be to adjust the width of all your columns:
Click the button on the top left of your worksheet to select all cells, and double click on the dividing line between two columns.
This will automatically resize the data in all your columns.

We click the “Print Preview” button.
Click the “Margins” to adjust the various margins.
By clicking and dragging the blocks on the top of the page, you can change the “white space” on the right side of the page.
Tip: change the column widths from left to right, so that you can easily see how much white space you have on the right side.

Remember, when you change it in the preview page, you can see the changes in the worksheet.


By clicking on the Zoom button we can see the whole page.
We can navigate between the pages by clicking on the “Next Page” and “Previous Page” buttons.

Print

To print a document, click the “Office” button, and drag the mouse pointer over the “Print” option.

This opens the menu with three options:

  1. “Print”: this will open the “Print” dialog, which allows us to choose a printer, and the number of copies to print.
  2. “Quick Print”- our worksheet will print immediately, without even entering an instruction in the Print dialog box.
  3. “Preview”: We have seen in the previous lesson. Gives us a preview of how our worksheet will look when it is printed.

We can see lot of options in the “Print” dialog box:
In the top box, click the downward pointing arrow and choose a printer.
In the “Print Area” section, we can choose first option to print all pages or second option to print specific pages.
In the “Print What” section we can choose whether we want to print only a selection,
an entire workbook or only selected sheets or we want to ignore the “Print Area”.

In the “Number” section, we determine how many copies we want to print, and how you want to sort.
If you have entered your preferences, click OK in the dialog.

Printing Ranges

In order to print a range of cells, select the Range first.
Click the “Office” button, and click “Print” from the list.
This also opens the “Print” dialog.
Click the box for the text “Selection”.
If you first want to see how the print will look, click the “Preview” button.
This opens a preview of the selected range.
Click the “Print” button when you are satisfied.
