Drop-down list

“Data validation” allows us to make a list of different items.
These items can be letters, words, numbers, actually everything.
In other words, all items in this list are totally dependent on you.

An example:
We have a drop-down list of the students in a class.

First I select a blank cell or range of cells, the drop-down list should include.
In this example I select cell C4.
And click the “Data Validation” button in the “Ribbon”.
In the dialog box, I choose the “List” from the “Allow” drop-down menu.
In the “Source” I click the “Collapse” button and select the range in which my list is there. Cell A4 to A9.
Click the “Open” button

Check the box for the text “In-cell dropdown”.

And click OK.

Result:

To use this list in another worksheet, we need to give the range a name.
In this example, I named the range as “students”.

Select in the next worksheet the cell (s) that should have this drop-down list.
Click the “Data Validation” button in the “Ribbon”.
Select “List” in the “Allow” box.
And type = students in the “Source”

And click OK.
All these cells now have a drop-down list with our students.

Search for Cells with data validation

If you do not remember which cells have validation rules, click the button “Find and Select” in the “Home” tab of the “Ribbon”.
Select “Data Validation” from the drop-down menu.

Excel will show you each cell that has data validation.

Remove conditions

To remove the terms of a “Data validation”, first select the range in which the data validation was applied.
Click the button “Data Validation” in the “Ribbon”.
In the dialog that appears, click the button “Clear All” at the bottom of the dialog.
And click OK.
