Lesson 79: Worksheet Display

Normal View

When we open a workbook in “Excel”, it opens in “Normal” view by default.
We can see various display options in the “Workbook Views” in the “View” tab on the “Ribbon”.

The “Normal” view is mostly used for your data in the worksheet.
In “Normal” view, we can perform any task that we have in “Excel”, except entering headers and footers.
This can only be done in “Page Layout” view, which is new in “Excel 2007”.

Page Layout view

The “Page Layout” view is new in “Excel 2007”, and allows us to make changes in our worksheet before we print.

The “Page Layout” view is found in the “View” tab, and also at the bottom of our worksheet.

We have the option to show or hide the ruler, gridlines, formula bar, and the headings (column headings and row numbers).
“Page Layout” view is the only view that allows us to work with headers and footers.

To add a header, click on “Click to add header …”.
To add a footer, click at the very bottom of the field where it says “Click to add footer …”.

Click the “Design” tab in the “Header and Footer tools”.


In the tab “Design” we have can enter our own headers and footers, or we can make use of predefined headers and footers.

It is also possible to hide the headers and footers plus the white space by placing your mouse pointer between the column headings and white space. Click when it changes into a double arrow.

Repeat this when you want to display.
To return to the “Normal” view, select the “View” tab, select a cell and choose “Normal” in the ribbon.

Page break view

Page break view can be found in the “View” tab of the “Ribbon”.


When we select it, a dialog box appears, with the message that you can adjust the page breaks by clicking and dragging with the mouse.
If you don’t want to see this in the future, click the check box when you get this message.

The Page Break Preview shows us several things.
The dashed lines indicate the automatic page breaks.
These are based on the page margins, page size and page orientation.

A solid line indicates a manually inserted page break.

A “Page break preview” is displayed at 60% by default.
Clicking the Zoom button displays a dialog where we can choose the zoom percentage.

Clicking on the 100% button displays the “Page break preview” to 100%.
Clicking on the “Zoom to Selection” will zoom into the range that was selected.

By clicking and dragging the blue solid or dashed lines, horizontal or vertical, we can change page breaks manually.

To return to the “Normal” view, select the “View” tab and choose “Normal” in the “Ribbon”.
