13/57 Lessons

Using AutoCorrect to type texts in documents

In the previous lesson, we saw how we can manually add Spellings to our AutoCorrect list.
But there is more, With AutoCorrect you can even enter lots of text in documents.
For example, we are looking for a job, and have hundreds of letters that need to be sent to different companies.
Certain parts of this letter are sent to all companies, so we can do this by copying and pasting data in different letters.
But there is a solution to do this with AutoCorrect.
First select the text you want to add to the AutoCorrect.
Click the Office Button, click “Word Options”, select the tab “Proofing” and click the “AutoCorrect Options”.

In the box “Replace:” type in a code that you want to replace the text in the box with “With:”. For example, GC.
Click the “Add” button when you’re done. This will add this auto-correction to the list.
Click OK.
If your text is with a format, check the radio button for the text “Formatted text” on it. This will preserve the formatting.

Whenever I type the letters GC followed by a space, Word will automatically enter including the whole text in my document, While retaining the formatting because you have this radio button checked.

Exceptions Insert

The AutoCorrect feature allows us to give a number of exceptions.

To do this click the Office Button, click “Word Options”, choose the tab “Proofing” and click the “AutoCorrect Options …”.

In the “AutoCorrect” click the button “Exceptions”.

This opens a new dialog with three tabs.

The first tab is used to ignore case after typing a period.
For example, after an abbreviation.
There are a number of standards filled by Word, but you can still add your own by typing in the upper box, and clicking on the “Add” button.

In the second tab you can add words that begin with two capital letters, eg MEdication.

The second case will not be considered a typo, and will therefore not be corrected.

And in the third tab you can still enter exceptions that do not belong to the previous tabs.

To remove an exception, select the exception, and click the “Delete” button, and click OK.
