Insert Merge Fields

The next step is to insert the merge fields in our document.
To do this you first place the cursor at the location in your document where you want these fields.
Click the button “Insert Merge Fields” under the tab “Mailings” in the ribbon.
This opens a drop-down menu with all available fields from our table.
Click the field you want to insert.
In this example I choose the first field “Name”, and hit the Enter key on the keyboard.
Then click again on the “Insert Merge Fields” and select “Address” from the drop-down menu, and then click the Enter key on the keyboard.
Finally we need to insert the zip code and address.
So we click again on the button “Insert Merge Fields” and select “zip code”.
Because the zip code and address must be placed on the same line, separated by a space, we click the Space key on our keyboard, and then click again on the button “Insert Merge Fields”.
Select “Location” from the drop-down menu.
That was it for inserting the addressee.
To give the letter a personalize tone, you can add the name of the person’s title in the insert.
To do this in the same way:
1. cursor in the right place in your document set.
2. clicking on the button “Insert Merge Fields”.
3. and clicking on the “Name” in the drop-down menu.

That was easy.

Insert Address Block

Instead of inserting all of the merge fields one by one,we can also make use of the address block. This goes a little faster.
For this, place the cursor in your document at the place where you want the address.
Click the button “Address Block” under the tab “Mailings” in the ribbon.
This opens the dialog “Insert Address Block”:


In this dialog we can choose several options.
Above left, we have different formats from which we can choose.
Below that we have the box “Insert Company name”.
If you want to use it, you must have a field e in your table named company name.
Among them we find a number of options for displaying the country.
Again, you must have a table field with the name of the country.

On the right side of the dialog box it shows an example window, surmounted by the buttons “First”, “Previous”, “Next” and “Last”, which we can use to navigate between our different records in our table.

If there are problems between the standard field and the source field, you can still make changes by clicking on the button “Match Fields”.
Click the OK button when you are satisfied.
The address block will appear at the place where your cursor was in your document.
